Marketing and Sales Coordinator

Position Summary

The Marketing and Sales Coordinator is responsible for coordinating all aspects of birthday parties and field trip visits including: scheduling, effective communication with party hosts/teachers/tour and travel planners, communications with staff.  Additional responsibilities include planning and implementing strategic initiatives that increase birthday party sales, group visitors, membership sales, and all revenue to the Louisiana Children’s Museum.  This position is a full-time position working Wednesday – Sunday.

 

Key Relationships

Reports to:  Marketing and Sales Director

Supervises: Birthday Hosts

Coordinates with: Museum Experience Team Lead, Visitor Services Manager, Facilities Manager

Interacts with: Birthday families, Teachers and educators, caregivers, members, all front-line staff, all LCM staff, other organizations who request donations

Minimum Qualifications

  • Bachelor’s Degree or 2-3 years related work experience
  • Computer proficiency in all Microsoft Office applications
  • Database management experience
  • Excellent customer service, communications, and organizational skills
  • Experience supervising part-time staff members
  • Graphic Design/Adobe Suite skills a plus

Responsibilities and Duties

Plan

  • Handle all reservation requests and inquiries for birthday parties, field trips, and group visits.
  • Manage birthday party, field trip, and group reservations process and provide high quality customer service throughout the booking process.
  • Work with the hosts, catering vendor, and related staff to coordinate birthday party supply inventory needs and process orders as necessary.
  • Assist in hiring, training, scheduling, and management of birthday hosts.
  • Ensure and enforce all groups and parties receive and understand LCM reservation policies.
  • Assist with the development, monitoring and management of the birthday party/group visits budget.
  • Assist with the development of promotional materials/efforts for birthday parties, field trips, group visits, membership, and other revenue streams.
  • Assist with the development and implementation of an annual strategic effort to increase birthday parties and group visits.

Execute

  • Process invoices and payments through the appropriate POS system.
  • Coordinate with Visitor Services team and COO to ensure the party rooms are properly maintained.
  • Problem-solve issues that arise with parties and groups customer service. Work with Visitor Services department to provide an excellent customer experience.
  • Support membership sales, renewals, and inquiries – including phone calls, emails, mailers and more.
  • Select and process donation request for external organizations that meet LCM donation requirements.

Research/Evaluate

  • Assist with researching target audiences and prospective partners; help identify opportunities to enhance brand affinity and drive purchase/engagement.
  • Assist Marketing and Sales Director in compiling weekly and annual breakdowns of sales by sales channel, and other sales tracking needs to inform leadership and drive data-driven decision making.
  • Support the Marketing and Sales Director in all efforts to drive sales and revenue through all earned revenue streams.
  • Participate in staff development and trainings.
  • Other duties as assigned.
